Say the word ‘exclusive’ to a journalist and you’ll usually get their attention. Say it to three journalists at once and you’ll usually lose it, along with a chunk of your credibility. 

A media exclusive is one of the most powerful tools in media relations, and also one of the easiest to get wrong. So let’s clear a few things up: what a media exclusive actually is, when to use one, and how not to get it badly wrong.

 

What is a media exclusive?

A media exclusive is a simple promise: one story, one outlet, first. You’re offering a single journalist or publication the chance to break a piece of news before anyone else has it. In return, you’re usually hoping for better placement, more space, a bit more depth, and a reporter who has the time and incentive to do the story justice.

That’s the deal underneath it all – you give a journalist something genuinely valuable (a head start), they give you something genuinely valuable (proper press coverage). When it works, everyone wins. The outlet gets a story its rivals don’t have, the journalist gets a byline worth having, and the client gets coverage that actually lands rather than getting lost in the noise.

 

 

What an exclusive isn’t

Here’s where a lot of people trip up. An exclusive is not simply a press release with the word “EXCLUSIVE” slapped on the top. Calling something exclusive doesn’t make it exclusive – offering it to one outlet (and only one outlet) does.

It’s also not a magic word to make dull news interesting. If the story isn’t strong enough to stand on its own, no amount of exclusivity will save it. This is where knowing what makes a story newsworthy really matters. Journalists can smell a non-story dressed up in swanky clothes from a mile away, and the fastest way to burn a relationship with a journalist is to promise them an exclusive and hand them a shrug.

A media exclusive is absolutely not something you offer to several journalists in the hope that one bites. That’s not an exclusive. That’s a general media pitch or press release wearing a disguise, and when two of them run it the same morning (or worse, compare notes), you’re goosed. You’ve broken your word, embarrassed the journalists, and taught multiple newsrooms to distrust the next thing you send. Not good. 

 

When to offer an exclusive

Exclusives earn their keep when the story is strong and you want it to land with maximum impact. Here are a few situations where exclusives tend to shine:

Genuinely newsworthy announcements, like a new product, a major hire, a funding round, a significant piece of research or data and so on. Something a journalist would actually want to be first on.

Stories that need room to breathe, like a feature, a human-interest angle, an investigation-style piece where a rushed 200 words wouldn’t do it justice.

When you’re targeting a specific outlet – for example, if there’s one publication your audience actually reads, giving it the exclusive can be far more valuable than a scattergun release that gets thin pickup everywhere.

When you have something a particular journalist has been chasing, then matching the right story to the right reporter or editor is where exclusives really work. 

 

When not to offer one

Exclusives aren’t the default setting, and treating them like one does more way more harm than good. This is when you should skip the urge to pitch an exclusive: 

The news is for everyone. Some announcements simply need broad, simultaneous reach. For example – a public safety message, a product recall, anything time-sensitive that a whole market needs at once. Handing that to a single outlet does your client a disservice.

The story is thin. If it can’t carry a standalone piece, don’t dress it up. Fold it into a wider release, a comment opportunity, or a data story instead. 

You can’t deliver on the promise. If you can’t guarantee the outlet genuine first access, because the news is already half-out, or the client’s about to blog about it, then it isn’t exclusive. Pretending otherwise will trip you up at lightning speed. 

Speaking of speed – speed matters more than depth. Sometimes you just need the news out, widely and quickly. That’s a job for a straight press release, not the merry dance of trying to land an exclusive.

 

How to pitch an exclusive (the bit we won’t pretend is optional)

Most of getting exclusives right comes down to honesty and doing what you said you’d do. Here’s a list of a few principles we live by when we pitch an exclusive to a journalist.

One story, one outlet. Full stop. Never pitch the same exclusive to more than one journalist at a time. If the first says no, then you can take it elsewhere, but NEVER run two conversations in parallel.

Be crystal clear that it’s exclusive. Say it out loud in the email or call when you pitch it. Don’t let a journalist invest time on the assumption they’ve got something they haven’t.

Match the story to the journalist. Do your homework. A tailored offer to someone who genuinely covers the topic you’re pitching beats a generic “exclusive” fired at a name on a list. That behavior will give you, and the communications industry, a bad name. 

Set the terms up front. Timing, embargo, interview opportunities, photography, what’s on and off the record. Everyone should know the rules before anyone commits.

Honour the exclusive, both ways. If you’ve promised the outlet a window before you release more widely, respect it to the letter. Their whole reason for saying yes was being first.

If it falls through, say so quickly. If the timing dies, tell the journalist quickly, then move on cleanly. Silence and mixed messages are how trust quietly evaporates.

 

Why it all matters

Media relations run on trust, and exclusives are trust in its most concentrated form. Get one right and you don’t just win a single piece of coverage – you show a journalist you’re someone worth picking up the phone to next time. It’s one of the surest ways to get featured in the media again and again. Get it wrong, and you can undo years of relationship-building in a single careless morning.

 

Media exclusives: your questions answered

 

  • What is an exclusive story? An exclusive story is a piece of news given to one journalist or outlet to publish first, before anyone else has access to it. The “exclusive” part is the promise of being first, not the subject matter, and not a label you add to make a press release or feature feel more important.

 

  • Can you offer an exclusive to more than one journalist? No. The moment you offer the same story to a second journalist, it stops being an exclusive. Pitch it to one outlet at a time; only if they pass should you take it to the next. Double-pitching an exclusive is the quickest way to lose a newsroom’s trust.

 

  • What’s the difference between an exclusive and an embargo? An exclusive is about who gets the story (one outlet, first). An embargo is about when a story can be published (a set date and time, often shared with several outlets at once). They’re frequently used together – e.g. you might give one outlet an exclusive ahead of a wider embargoed release, but they’re not the same thing.

 

  • Is an exclusive always the best option? Not at all. Exclusives suit strong, standalone stories where depth and placement matter more than reach. When news needs to go wide and fast, a straight release to multiple outlets will almost always serve you better.

An exclusive isn’t a trick or a magic word – it’s a promise. Treat it like one, keep it like one, and it becomes one of the most valuable things you can offer a journalist. Break it, and you’ll find the word stops opening doors and starts closing them.
